When does your employer require a medical certificate?
A medical certificate is typically required in situations that go beyond a standard one or
two-day sick day. Common scenarios where Canadian employers ask for one include:
Absences of five or more consecutive days. Most employer sick leave policies require a medical certificate once an absence extends beyond a week. Some policies require one after just three days. Check your employment contract or HR policy for the exact threshold.
Return-to-work clearance. Many workplaces especially in physically demanding or safety-sensitive roles will not allow you back until a physician confirms in writing that you are medically fit to resume your duties. This is sometimes called a fitness-for-duty certificate or return-to-work certificate.
Extended medical leave. If you are applying for a leave of absence longer than a few days due to a health condition, your employer's HR department will almost certainly require a medical certificate to approve and document the leave properly.
Disability and insurance claims. Short-term and long-term disability benefit applications through your employer or a private insurer require physician-issued documentation confirming the nature and expected duration of your condition.
Government benefit applications. Applying for Employment Insurance sickness benefits through Service Canada requires a Record of Employment and may require supporting medical documentation depending on your claim.
Provincial employment standards vary. Ontario's Employment Standards Act, for example, limits when an employer can demand a note for a short absence, but those rules do not prevent employers from requiring certificates for extended leaves or return-to-work situations.
